Driving Policy Template
A driving policy template for everyone who drives for business purposes, whether in their own vehicle or a company vehicle. It covers competence and licences, safe driving, fatigue, fuel-efficient driving, route planning, mobile devices, commercial vehicles, drivers' hours, manoeuvring and incident reporting.
The policy has Approved By and Date Approved fields and carries a Public information classification, so it can be shared with workers, clients and other interested parties.
What the Driving Policy Covers
- Competence - only drivers assessed as competent, holding a valid licence for the vehicle and business insurance when using their own vehicle
- Safe driving - no alcohol or drugs, speed limits and road traffic rules, considerate driving, vulnerable road users, secure loads, and reporting medication or medical conditions that affect driving
- Preventing fatigue - regular breaks and not driving when overly tired
- Fuel-efficient driving - driving style, speed, tyre pressures and avoiding engine idling
- Route planning - the safest and most efficient route, taking account of weather, fatigue and light
- Mobile devices - no hand-held use while driving, and hands-free use only when safe
- Commercial vehicles - responsibility for loads, delivery signatures and records
- Drivers' hours and working time - driving limits, breaks and rest periods monitored, with tachograph records checked where fitted
- Manoeuvring - pedestrians, reversing and clearing the area around the vehicle
- Incident reporting - reporting every accident or incident, and what to do at the scene
Two Versions Supplied
The main policy refers to official driving guidance and the driving licence authority without naming them. P-9 Driving Policy (V2) names the Highway Code and the DVLA and adds a legislation section, for organisations in the UK that want the references spelled out.
Using the Policy
Add your company name and logo, check each commitment matches what your organisation does and edit any that do not, then approve and date the policy and share it with workers and anyone else who needs to see it.
Who Needs a Driving Policy?
Any organisation whose workers drive for work, whether in company vehicles, their own vehicles or commercial vehicles.
Included in the Drivers Toolkit
This policy is part of the Drivers Toolkit, alongside the P-62 Driving Own Vehicles Policy.
Works with the Driving and Vehicles Procedure
The PP-1-01 Driving Use Vehicles Policy Procedure covers the arrangements for driving and vehicle use, the F-HR2 Driving Company Vehicles Form records each driver's licence details and acceptance of the rules, and the TT-1-01 Safe Driving toolbox talk briefs drivers.
