Company ID Cards Policy Template

A company ID cards policy template using ID cards as a key security measure to help keep workers and the public safe, with photographic ID cards for all staff and visitor ID cards worn by visitors while on site.

The policy has Approved By and Date Approved fields and carries a Public information classification, so it can be shared with workers, clients and other interested parties.

What the Company ID Cards Policy Covers

  • Purpose - ID cards as a key security measure to help keep workers and the public safe
  • Staff and visitor cards - photographic ID cards for all staff, and visitor ID cards worn on site
  • On company premises - cards displayed at all times, and anyone not displaying a card reported to a manager
  • Lost or forgotten cards - reported to a manager as soon as reasonably practicable so a temporary or replacement card can be issued
  • Access permissions - any access permissions on a card that may have been lost cancelled
  • On company business - cards displayed on client sites, at public events and at private residences
  • Entry to other premises - the card shown before entering any premises not belonging to the organisation
  • Failure to wear - disciplinary action for persistent failure or refusal without good reason
  • Suspension - the card withdrawn until the suspension is resolved
  • Return of cards - cards remain company property and are returned when employment ends

Written to Be Shared

Like every alphaZ policy, this is written as a public policy statement that can be shared openly with workers, customers, suppliers and assessors. The internal detail of how it is carried out belongs in your procedures.

Using the Policy

Add your company name and logo, check each commitment matches what your organisation does and edit any that do not, then approve and date the policy and share it with workers and anyone else who needs to see it.

Who Needs a Company ID Cards Policy?

Organisations that issue ID cards, and those whose workers visit client sites or private residences.

Works with Visitor Arrangements

The PP-7-24 Site Visitors and Contractors procedure covers visitors and contractors on site, and visitors can be signed in and out on the F-Q112 Visitor Register.

Document Control

The footer carries the policy number and title, information classification, version and page numbers, and the approval fields record who approved the policy and when, so it can be controlled with the rest of your management system documents and listed on a document register such as the F-IMS20 Document Register.
